Step-by-step guides for getting the most out of your membership

Guide 1: Getting Started — First Login and Setup

Setting up your Home Tracker doesn’t take very long and pays off every month after that. Here's how to get started the right way.

Step 1: Log In

  1. Go to artandcraft.softr.app in any browser.

  2. Enter your email address and click the login link sent to your inbox.

  3. Bookmark the page or add it to your home screen for easy access.

Pro tip: On iPhone, open Safari, go to the app URL, tap the Share icon, and choose Add to Home Screen. The app will appear on your home screen like a native app.

Step 2: Personalize Your Monthly Checklist

Your checklist comes pre-loaded with Art + Craft's Central Texas master task list. Not every task applies to every home. Take five minutes to clean it up.

  1. Go to Monthly Checklist in the navigation.

  2. Use the filter at the top to show All tasks.

  3. Click Edit on any task that doesn't apply to your home.

  4. Change Active from Active to Inactive and save.

  5. Repeat for any other tasks that don't apply.

  6. Switch the filter back to Active when you're done.

Common tasks to consider marking Inactive:

  • Check irrigation system — if you don't have one

  • Service heater or gas appliances — if you don't have gas

  • Termite inspection — if you have an active pest contract that covers this

  • Flush water heater — if you have a tankless unit

Pro tip: You can always reactivate a task later. If you add a sprinkler system or switch to gas appliances, just edit the task and set it back to Active.

Step 3: Add Your Home's Key Information

Start with the things most likely to matter in an emergency or at resale.

  1. Go to Home Inventory and add your HVAC system, water heater, and major appliances. Include model numbers, serial numbers, and warranty expiration dates.

  2. Go to Documents and upload your homeowners insurance policy, any recent inspection reports, and permits for major work.

  3. Go to My Vendors and add the contact info for any contractors you already use regularly.

Guide 2: Using Your Monthly Checklist

The Monthly Checklist is the heart of the Home Tracker. Here's how to use it effectively every month.

Viewing This Month's Tasks

  1. Go to Monthly Checklist.

  2. Use the month filter to select the current month. Tasks assigned to that month will appear.

  3. The checklist shows both your Art + Craft master tasks and any custom tasks you've added.

Marking a Task Complete

  1. Find the task you've completed.

  2. Click Mark Complete.

  3. A small form opens. Check the Completed This Month box.

  4. Add an optional note — filter size used, who did the work, anything worth remembering.

  5. Click Save. The task logs automatically to your Maintenance History.

Pro tip: Use the notes field to track details you'll want later. Next time you change the HVAC filter, you'll know exactly which size you used last time.

Getting Task Details and Instructions

  1. Click on any task name to open the Task Details page.

  2. The details page shows the full task description, category, frequency, and a link to the Art + Craft member library for step-by-step instructions.

  3. Click the Instructions Link to open the detailed guide in the member library.

Hiding Tasks That Don't Apply

  1. Click Edit on any task.

  2. Change Active from Active to Inactive.

  3. Save. The task disappears from your Active view.

  4. To see and reactivate inactive tasks, use the filter at the top and select Inactive or All.

Viewing What You've Completed This Month

Scroll down on the Monthly Checklist page to see your Completed This Month section. It shows everything you've logged this month from both your master checklist and custom tasks.

Guide 3: Adding Custom Tasks

Custom tasks let you add anything specific to your home or routine that isn't on the Art + Craft master list.

Adding a New Custom Task

  1. Go to My Custom Tasks in the navigation.

  2. Click Add Task.

  3. Enter a Task Name — be specific enough that you'll remember what it means later.

  4. Choose a Category.

  5. Choose a Frequency — how often this task needs to happen.

  6. Enter a Last Completed Date if you've already done this task before. The app will calculate your Next Due Date automatically based on your frequency.

  7. Add any Notes that are helpful for context.

  8. Save. Your custom task now appears on your Monthly Checklist in the month it's due.

Pro tip: If you're adding a task for the first time and haven't done it yet, leave Last Completed Date blank and enter a Next Due Date manually. The auto-calculation kicks in after your first completion.

Completing a Custom Task

  1. Go to Monthly Checklist and find your custom task in the My Custom Tasks section.

  2. Click Mark Complete.

  3. Check the Completed This Month box, add optional notes, and save.

  4. The app automatically updates your Last Completed Date and calculates the next due date based on your frequency.

Guide 4: Logging Maintenance and Repairs

Your Maintenance and Repair Log is a complete history of everything done to your home. Checklist completions log automatically — here's how to add everything else.

Logging a Repair

  1. Go to Maintenance and Repair Log.

  2. Click Add Record.

  3. Enter a Task Name that describes what happened — be specific. Example: Replaced kitchen faucet cartridge.

  4. Select Type: Repair.

  5. Choose a Category.

  6. Select Who Did It: DIY, Contractor, or Art + Craft.

  7. Enter the Cost if you want to track spending.

  8. If the repair came with a warranty, check Warranty on Repair and enter the expiration date.

  9. Attach photos or receipts in the Photos or Warranties field.

  10. Save.

Pro tip: Log repairs as soon as they're done while the details are fresh. A 60-second entry now is worth an hour of searching later.

Why This Matters at Resale

Buyers and their inspectors love documentation. A complete maintenance and repair log shows that your home has been cared for. It can speed up negotiations, reduce inspection surprises, and give buyers confidence. The log you build over the life of your membership becomes a real asset when you sell.

Guide 5: Managing Your Home Inventory

Home Inventory is where you document every appliance, system, and finish in your home. The more complete it is, the more useful it becomes.

Adding an Appliance or System

  1. Go to Home Inventory.

  2. Click Add Record.

  3. Enter the Item Name. Be specific: Rheem 50-Gallon Water Heater, not just Water Heater.

  4. Choose a Category.

  5. Enter Brand, Model Number, and Serial Number. You can find these on the appliance label — usually inside the door, on the back, or on the bottom.

  6. Enter Purchase Date and Warranty Expiration if you know them.

  7. Paste a link to the online manual if you can find it — most manufacturers have them on their website.

  8. Upload a photo of the appliance label showing the model and serial number.

  9. Save.

Tracking Paint Colors

  1. Click Add Record and select Paint Color as the Category.

  2. Name it by room: Master Bedroom Walls, Kitchen Cabinets, Exterior Trim.

  3. Enter Brand / Manufacturer as the paint brand.

  4. Enter Model Number as the color name.

  5. Enter Serial Number as the color code.

  6. Select the Paint Finish.

  7. Enter the Room or Location.

  8. Upload a photo of the paint swatch or the can lid.

  9. Save.

Pro tip: Before you toss a paint can, photograph the lid. The color code is right there and it takes two seconds. Upload it to your inventory and you'll never have to guess at a touch-up color again.

Guide 6: Storing Documents and Warranties

Documents keeps all your important home paperwork in one secure, searchable place.

Adding a Document

  1. Go to Documents.

  2. Click Add Record.

  3. Enter a Document Name that's specific enough to find later: 2024 Roof Inspection Report, not just Inspection.

  4. Choose a Category: Permit, Inspection Report, Warranty, Insurance, HOA, Survey, Tax, or Other.

  5. Enter the document Date.

  6. Enter an Expiration Date for anything time-sensitive — insurance policies, warranties.

  7. Upload the file. PDFs work best but photos of documents work too.

  8. Save.

Documents worth storing:

  • Homeowners insurance policy (with expiration date)

  • Survey plat

  • Permits for any major work

  • Inspection reports from purchase or subsequent inspections

  • HOA governing documents and rules

  • Warranties for roof, HVAC, appliances, and major systems

  • Contracts for major renovation work

Guide 7: Submitting a Maintenance Request

When something needs attention, submit a request through the app and Art + Craft handles the coordination.

Submitting a Request

  1. Go to Request Maintenance in the navigation.

  2. Click the button to add a new request.

  3. Describe what needs attention in the Request Description field. The more detail the better — what you noticed, when it started, what you've already tried.

  4. Choose a Category.

  5. Select an Urgency level: Routine, Urgent, or Emergency.

  6. Enter your Preferred Timing — mornings only, weekends, any day, specific week.

  7. Upload a Photo if it helps illustrate the problem. A photo of a leak, crack, or appliance is worth a thousand words.

  8. Submit. Art + Craft receives the request immediately.

Tracking Your Request Status

Your submitted requests appear as a list on the Request Maintenance page. Each request shows its current status:

  • Received — Art + Craft has your request and is working on it

  • Scheduled — work is scheduled. The date will appear in your request details

  • Complete — the work is done

Pro tip: You can submit multiple requests at once. Use separate requests for separate issues so each can be tracked and scheduled independently.

Guide 8: Using the Vision Board

The Vision Board is your place to dream. Save inspiration, plan future projects, and signal when you're ready to talk to Art + Craft about making them happen.

Saving an Inspiration Item

  1. Go to Vision Board in the navigation.

  2. Click Add Inspiration.

  3. Enter a Project Name: Master Bath Renovation, Backyard Pergola, Kitchen Cabinet Refresh.

  4. Choose a Category to keep things organized.

  5. Paste an Inspiration Link from Pinterest, Houzz, Instagram, or anywhere online.

  6. Upload screenshots or photos of ideas you love.

  7. Add a Description with your thoughts, must-haves, and any specific ideas.

  8. Enter an Estimated Budget if you have a rough number in mind.

  9. Choose a Timeline: ASAP, This Year, 1-3 Years, or Someday.

  10. Leave Ready to Talk unchecked if you're still just gathering ideas. Check it when you want Art + Craft to reach out.

  11. Save.

Signaling You're Ready to Talk

When you're ready to start a real conversation about a project, edit the Vision Board item and check Ready to Talk. Art + Craft will see it and reach out to schedule a Project Clarity Call. No pressure, no commitment — just a conversation about what's possible.

Pro tip: The Vision Board works best as a living document. Add to it whenever you see something you love. Edit budget and timeline thinking as your plans evolve. When you do sit down with Art + Craft, you'll have everything organized and ready to share.

Guide 9: Managing Your Vendor Directory

My Vendors is your personal contact book for every contractor and service provider you've worked with.

Adding a Vendor

  1. Go to My Vendors in the navigation.

  2. Click Add Record.

  3. Enter the Business Name.

  4. Enter the Contact Name — the person you actually call.

  5. Choose a Trade or Specialty.

  6. Enter their Phone and Email.

  7. Enter Last Used — when they last did work for you.

  8. Rate them 1 to 5 stars.

  9. Add any Notes: great communication, always on time, not great at drywall but excellent plumber.

  10. Save.

Pro tip: Add vendors right after they finish a job while the details and your impression are fresh. Rate them honestly — your future self will thank you.
